Employees forget their passwords and need quick help to continue working. In many companies, resetting and changing passwords on a regular basis is part of the security concept. In any case, almost every company faces the challenge of having to reset countless passwords. The workload for the assigned helpdesk is immense. Since each change request costs time, employees (and thus the company) lose valuable working time.

FirstWare IDM-Portal of FirstAttribute AG relies on extensive self-services. Using the new password reset function, employees in the company can immediately reset their password themselves, in line with the company’s own workflows.

“Our goal was to provide fast help for the affected employee and relief for IT,” says Matthias Rudolph of FirstAttribute AG, explaining the background for the new password reset self-service in IDM-Portal.

Password reset workflow with SmartPages technology

With FirstWare IDM-Portal’s password reset self-service, employees outside of IT can reset their passwords on their own without compromising corporate security.

Using the SmartPages technology, each company can define and automate its own secured and traceable password reset workflows.

Workflows can be defined individually, such as self-service, delegation, approval and multi-factor authentication.

Secure change processes up to multi-factor authentication

Processes and security requirements differ depending on the organization. Depending on the concept, it is determined whether the respective user is the one who is allowed to reset the password.

In self-service, an e-mail is sent to the user with a reset link. With 2-factor authentication (2FA), another security feature is added in addition to the entry of an exact parameter. The options here are many: PIN, secret questions, SMS codes or special keys.

Multi-factor authentication (MFA) offers a combination of several security features. “The key here is to weigh usability, user-friendliness and security. Otherwise, the requests end up with IT or the help desk after all.”

IDM-Portal from FirstAttribute is designed as a web application and can be customized as needed. Depending on the company structure, different user groups can be defined. The password reset can be used for purely internal use on the PC to reset passwords via smartphone in the home office or on business trips.
